This tool is provided for authorised users only. It processes Japanese property management PDF statements and converts them into structured CSV data using AI.
1. What we collect
Account information — your username and a hashed (not readable) version of your password, stored in a local database on our server.
Usage counts — the number of files you have parsed each day, to enforce daily limits. Counts reset at midnight Japan time.
Session cookie — a signed cookie used to keep you logged in. It contains no personal data.
Server access logs — standard web server logs (IP address, request time, URL). Retained for up to 30 days.
2. PDF files and document contents
When you upload a PDF, it is:
Temporarily written to disk on our server for processing.
Sent to a third-party AI API (currently Google Gemini) for data extraction.
Deleted from our server immediately after processing. We do not retain your PDFs.
The parsed result (income/expense data) is returned to your browser and held in memory for your session only. It is not stored on our server.
Important: The PDFs you upload may contain sensitive information about tenants, including names and financial data. By using this service you confirm you have the right to process this data and share it with third-party AI services for this purpose.
3. Third-party AI services
Document contents are transmitted to the following service for processing:
Google Gemini API — governed by Google's Privacy Policy. Google may process data on servers outside Japan.
No data is sent to Anthropic or OpenAI unless those engines are explicitly selected and configured.
4. Data storage and security
User accounts and usage counts are stored in a SQLite database on our server (Sakura VPS, Japan).
Passwords are stored as one-way hashes using scrypt — they cannot be recovered.
All connections are encrypted via HTTPS (TLS 1.2+).
Access to this service is restricted to authorised users only.
5. Data retention
User accounts are kept until deleted by an administrator.
Daily parse counts are kept indefinitely (they are small integers only).
Server access logs are retained for up to 30 days.
PDF files: not retained (deleted immediately after processing).
Parsed document data: not retained (exists in your browser session only).
6. Your rights
You may request deletion of your account at any time by contacting the administrator. This will remove your username, password hash, and usage records from our system.
7. Changes to this policy
We may update this policy from time to time. The date at the top of this page reflects the most recent revision.
